When do initial (new) enrollment procedures for the university begin?

At our university, initial enrollment procedures (YKS) begin on the dates announced by ÖSYM and specified in the guides prepared by our university. Those who do not complete the enrollment procedures by the dates set by ÖSYM are considered to have forfeited their right to enroll.

Where can I find the information and guides needed for new enrollment at your university?

Enrollment guides are published at (www.ogi.yildiz.edu.tr).

Is e-Government registration (electronic registration) mandatory?

Electronic registration is not mandatory for students; it is optional. Applicants who wish to complete electronic registration must click the “University E-Registration” option under the “Council of Higher Education” heading in the “e-Services” section at (https://www.turkiye.gov.tr/) during the designated dates to complete the registration process within the specified timeframe.-Registration" option, which will be available under the "Presidency of the Higher Education Council" heading in the "e-Services" section at (https://www.turkiye.gov.tr/), within the registration period.

Under what circumstances is e-Government registration not possible?

  • Not having a Turkish ID number,
  • Being unable to obtain an e-Government password due to being abroad,
  • Being currently enrolled at another higher education institution,
  • High school graduation cannot be verified through e-Okul,
  • A medical report is required for the program to which you were placed, as specified in the relevant sections of the ÖSYS Guide.

If I cannot register through e-Government, what steps should I follow?

You may complete the registration process in person on the dates announced by ÖSYM and specified in the guides prepared by our University (www.ogi.yildiz.edu.tr).

Do I need to bring documents if I register through e-Devlet?

Students who register via e-Government must also prepare the “Documents Required for Registration” within the dates specified in the registration guide and upload them electronically (www.e-ogrenci.yildiz.edu.tr).

I’ve been admitted to your university but haven’t graduated from high school yet. Can I still register?

Candidates who have earned the right to enroll in a higher education program but cannot graduate from their secondary school and must take a make-up exam or a single-course exam will also be granted provisional enrollment during the dates specified in the guide. Candidates in this situation who do not complete their provisional enrollment by the registration deadlines will be deemed to have forfeited their right to enroll. If these candidates submit documentation proving their graduation to the higher education institution by the date specified by the Council of Higher Education, their permanent registration will be processed. The provisional registration of those who fail to provide proof of graduation by the specified date will be canceled.

There are some missing documents among the required registration documents. If one document is missing, can I still register?

Registration cannot be completed with missing documents.

How is initial registration processed for those with valid excuses due to military service, detention, illness, etc.?

If they submit a document proving their valid reason and a written request by the dates specified in the guides published by ÖSYM and prepared by our University, (Those who will attend the mandatory English preparatory class should apply to the Directorate of the School of Foreign Languages; those beginning their undergraduate studies should apply to the Department Chair of their respective department), their registration will be processed, and their enrollment will be placed on hold.

Must the applicant complete the initial registration process personally? (Can a relative, parent, etc., do it instead?)

If the student is unable to come in person,

  • registration for applicants under the age of 18 may be completed by their first-degree relatives.
  • For applicants 18 years of age or older, registration may be completed by their legal representatives with a notarized power of attorney.

I am a registered student, and there is an error or a change in my personal information in the system (First Name, Last Name, Date of Birth, Place of Birth, etc.). How can I have this corrected?

  • Undergraduate students must submit the relevant documentation to the Office of Student Affairs, Room A1018, Kışla Building;
  • Graduate students must submit an application to the institute where they are enrolled, along with the relevant documentation for the change.
  • After the necessary verification is completed on e-Devlet, the changes will be made in the Student Information System.

I would like to study under the Erasmus Student Exchange Program. What should I do?

How can I find out about inter-institutional lateral transfers, lateral transfers based on the Central Placement Score (Annex 1), intra-institutional lateral transfers, and dual major applications, as well as registration and quota information?

Can I apply for a transfer during the mid-semester period (Inter-Institutional Horizontal Transfer, Double Major, Internal Transfer, or Horizontal Transfer via Centralized Score)?

No. Our university does not accept transfer applications during the mid-semester period.

Where can I obtain the document certifying that there are no obstacles to the student’s lateral transfer?

Students at our university who wish to apply for an Inter-Institutional Horizontal Transfer or a Horizontal Transfer via Central Placement Score must complete the “Certificate Stating There Are No Obstacles to the Student’s Horizontal Transfer” from the relevant units and submit it to the requesting higher education institutions. Can I apply for a dual major and an internal horizontal transfer during the same academic term?

Students at our university who have gained admission to another program through an intra-institutional lateral transfer from their current program or via a centralized placement score may not apply for a dual major during the same academic year.

I have earned the right to enroll at your university through vertical transfer, lateral transfer, or the Central Placement Exam. From which year can I continue my studies?

If I have taken courses at another higher education institution and am requesting an exemption for those courses, what is the minimum grade required for the course? 4

For courses taken previously at other higher education institutions for which an exemption is requested to be considered equivalent and for that course to be accepted as an exemption, the course grade must be at least CC (at least 2.00 on a 4.00 scale); for courses previously taken at our University to be considered equivalent and for the course to be granted an exemption, the grade must be DC (at least 1.50 on a 4.00 scale).

How can I track the process of having courses entered into the student information system?

You can follow up with the department to which you submitted your request, and you can check whether the course has been entered into the Student Information System via OBS.

I want to freeze my enrollment (take a leave of absence). Where and by what dates should I apply?

Students enrolled in the mandatory English Preparatory Program must submit their applications to the Directorate of the School of Foreign Languages, while students wishing to freeze their enrollment during their undergraduate studies must submit their applications to the Department Chairs of their respective departments.

Does the period during which my enrollment is suspended (I am on leave) count toward my total study period?

For students granted leave of absence due to unforeseeable reasons such as illness, childbirth, natural disasters, detention, imprisonment, or military service, the courses in which they are enrolled are dropped and do not count toward their period of study. For students granted leave of absence for economic reasons or other reasons approved by the relevant administrative board, the period of leave is counted toward the duration of study.

I am an undergraduate student. Will I have to pay the contribution fee/tuition for the semester during which I put my enrollment on hold (was granted a leave of absence) (for students who have exceeded the maximum duration of study and second-shift students)?

Students who have suspended their enrollment are not required to pay the contribution fee or tuition.

What is the maximum duration for which I can suspend my enrollment?

A student may be granted a total of up to four semesters of leave during their studies. However, if the circumstances justifying the leave continue, the leave may be extended for an additional two semesters with the decision of the relevant administrative board and the approval of the University Administrative Board.

Is there a difference between a leave of absence and not renewing registration?

A leave of absence (being considered on leave) may be granted if the valid reasons specified in Article 35 of our University’s Associate and Bachelor’s Degree Education and Teaching Regulations are present. The decision to suspend enrollment may be granted either as part of your total study period or not, depending on the nature of your valid reason. However, in the case of failure to renew registration, each semester for which registration is not renewed counts toward your total study period.

Is class attendance mandatory?

At our university, attendance is mandatory for at least 70% of theoretical courses and at least 80% of all practical work outside of theoretical courses.

How is the weighted cumulative GPA calculated?

The Weighted Cumulative Grade Point Average (WCGPA), the Semester Weighted Grade Point Average (SWGPA), and the Weighted Grade Point Average (WGPA) are calculated by dividing the sum of the values obtained by multiplying the grade received in each course by that course’s local credit hours—excluding G and M grades—by the total of the local credit hours of those courses.

When is the weighted cumulative GPA updated?

The Weighted Cumulative Grade Point Average (WCGPA) and the Semester Weighted Grade Point Average (SWGPA) are updated whenever a new grade is entered, while the Weighted Grade Point Average (WGPA) is updated as needed and reflected on the transcript.

What is the ECTS Credit System?

It is a student-centered credit system based on the student’s workload. It is a value that represents all the work a student must complete to successfully finish a course and achieve the specified learning outcomes (theoretical lectures, practical work, seminars, individual study, exams, assignments, etc.). Every course offered at our university has both local and ECTS credits. A course’s local credit consists of the total number of weekly theoretical lecture hours plus half of the weekly hours allocated to laboratories, practicals, workshops, or studios. Originally designed for credit transfer, this system is also used as a credit accumulation system at the institutional, regional, national, and European levels. For courses approved by the Senate as not contributing to grade point averages, no credit hour value is determined. For these courses, only the weekly theoretical and practical hours are specified. After the learning outcomes for each course are determined, the workload required for students to succeed and achieve these learning outcomes is calculated. In the work conducted for the ECTS credit distribution, the workloads required for students to succeed were estimated by the relevant faculty members. Students’ workload was measured through evaluation surveys conducted at the end of each semester. At YTÜ, students are required to successfully complete at least 30 ECTS credits to finish a semester (a total of 16 weeks, including exam periods). 30 ECTS credits correspond to a workload of 750–900 hours, encompassing all activities students undertake during the semester (class hours, homework, projects, midterms, finals, etc.).

Is our university required to implement the ECTS system?

No, it is not. The Cumulative Grade Point Average (CGPA) is calculated based on students’ local credits and grades. However, both local credits and grades, as well as ECTS credits and grades, are shown on students’ transcripts.
